Course Creator 360 Time-Off Policy

1. Purpose

This policy explains how you can take time off at Course Creator 360. It covers Paid Time Off (PTO), which you can use for vacation, holidays, or sick days. We want everyone to understand the rules so our work runs smoothly.

2. Who This Policy Is For

This policy is for all team members and contractors at Course Creator 360, no matter where you live.

3. Paid Time Off (PTO)

  • Total PTO Allotment: You have 14 days of Paid Time Off (PTO) each year.
  • You can use your PTO for vacation, holidays, or sick days as you choose.
  • PTO days do not carry over to the next year. Unused days expire at the end of the year.

Unused PTO Credits:

  • If you have unused PTO days at the end of the year, each unused day will be counted as a PTO credit.
  • Each unused PTO day will be paid out at 1.5x your daily salary rate.
    • For example, if your monthly salary is $1,000, your daily rate is calculated by dividing your salary by the number of workdays in the month.
    • $1,000 ÷ 22 workdays ≈ $45.45 per day. The unused PTO will be paid at 1.5x, which is $68.17 per day.
  • This payout will be made at the beginning of the following year after calculating the unused PTO days.

4. Using Your PTO

How to Request PTO:

  • Send your request through Discord, our main way to communicate.
  • For vacation or planned time off, ask at least 2 weeks before you want to take the time off.
  • Your manager must approve your request.

Using PTO for Sick Days:

  • If you are sick, you can choose to:
    • Use your PTO to cover the sick day and receive your regular pay.
    • Not use PTO, and the sick day will be considered unpaid leave, so your pay will be reduced for that day.
  • Notification Procedure:
    • Let your manager know as soon as possible, at least 24 hours before your shift if you can.
    • Use Discord to send your message.
  • Doctor's Note:
    • You need to provide a doctor's note for each sick day.
    • The doctor's note must:
      • Be dated on the day you were sick.
      • Include the doctor's name and contact information.
      • Be on official paper with a stamp or letterhead.
      • Say that you couldn't work because you were sick.
    • You must give us the doctor's note within 48 hours after you tell us you're sick.
    • If we don't receive the note in 48 hours, the sick day will be considered unpaid leave, and your pay will be reduced for that day.

5. Unpaid Leave

  • When Unpaid Leave Happens: If you choose not to use your PTO for a sick day, that day is unpaid leave.
  • How Unpaid Leave Affects Your Pay:
    • Example Calculation:
      • Monthly Payment: $1,000
      • Number of Work Days in the Month: 22
      • Daily Rate: $1,000 ÷ 22 ≈ $45.45 per day
      • For each unpaid day, we will deduct $45.45 from your payment.
  • Maximum Unpaid Leave: If you take more than 14 unpaid leave days in a year, we will review your situation. We will consider whether your absences affect our work and if you are able to continue working with us. This may lead to disciplinary action or ending your contract.

6. Attendance Expectations and Consequences

What We Expect:

  • Be on time and work your scheduled hours.
  • Let your manager know ahead of time if you need to change your schedule.

Excessive Absences:

  • Taking more days off than allowed without approval is not acceptable.
  • Frequent absences will result in a review.

What Happens If You Break the Rules:

  • First Time: We'll talk to you and make a note of it.
  • Second Time: We'll give you a written warning and explain what needs to change.
  • Third Time: Final warning or suspension without pay.
  • Continued Violations: May lead to ending your contract.

7. How to Request Time Off

  • Making a Request: Send all requests through Discord. Include the dates and type of leave (vacation, holiday, or sick day).
  • Approval Process: Managers will review your request and reply within 5 business days. You must get approval before taking time off (except for sick days, which should be communicated as soon as possible).

8. Keeping Records

  • Tracking Your Time Off: We will keep records of all your PTO and unpaid leave. You can ask how many PTO days you have left anytime.
  • Privacy: Your medical information is private and will be kept confidential.

9. Changes to the Policy

Course Creator 360 can change this policy if needed. We will notify you in writing if there are any changes.

Additional Notes

  • Contractor Status: Since you are contractors, some employment laws may not apply. We still aim to be fair and follow the laws in your country.
  • Communication: Discord is our official way to communicate. Use it for all messages about time off and other work matters.

Example of Pay Deduction for Unpaid Leave

If you take 2 unpaid sick days in a month:

  • Monthly Payment: $1,000
  • Number of Work Days in the Month: 22
  • Daily Rate: $1,000 ÷ 22 ≈ $45.45 per day
  • Total Deduction: 2 days × $45.45/day = $90.90
  • Adjusted Monthly Payment: $1,000 - $90.90 = $909.10

Key Points to Remember

  • 14 Days of PTO: You have 14 days each year to use for vacation, holidays, or sick days.
  • Sick Days: You can choose to use PTO or take unpaid leave when you're sick.
  • Doctor's Note Required: A doctor's note must be provided within 48 hours for sick days.
  • Unpaid Leave Deductions: Your pay will be reduced for unpaid leave days.
